!!Rekisteröityjen ryhmät
Henkilötietoja kerätään tai muodostuu seuraavilta ryhmiltä:
* yrityksen nykyiset ja tulevat ja mahdolliset asiakkaat
* sähköpostitse tulleiden yhteydenottojen lähettäjätiedot
* palvelimen lokeihin tallettuvat tiedot palvelujen käytöstä
!! Kerättävät tiedot
Tietojen aktiivisen keräämisen periaatteena on kerätä vain välttämättömät tiedot asiakassuhteen hoitamiseksi. 
Kerättäviä tietoja ovat mm. (ei-tyhjentävä luettelo):
* henkilön nimi
* yritys (tarvittaessa)
* osoite (käyntiosoite ja/tai laskutusosoite)
* sähköpostiosoite (laskutus, yhteydenotot, tiedotus)
* puhelinnumero (yhteydenotot)
* www-sivuston osoite (tarvittaessa)
Palvelujen määrittämistä ja/tai ylläpitoa varten on joskus tarpeen kerätä myös seuraavia tietoja:
* annettu tai muualla määritetty käyttäjätunnus ja (alustava) salasana (shell, web-sivusto tms)
* henkilötunnus (esim. verkkotunnuksen rekisteröintiä varten, resp. Y-tunnus, joka julkinen)
* luottokorttitiedot (miel. ei kerätä lainkaan, mutta joskus tarpeen, jos määrityksiä hoidetaan asiakkaan puolesta)
* pankkiyhteystiedot (mahdolliset maksupalautukset, ei muuta tarvetta)
* valokuva tms. (ei käytetty, mutta mahdollisesti voisi)
Palvelimen lokeihin tallettuvia tietoja ovat mm.
* yhteyden ajankohta
* ~IP-osoite
* haettu web-sivu tai muu palvelukohdetieto
* käyttäjätunnus (kirjautuminen)
!! Tietojen taltiointi
Kerättävien tietojen taltiopaikkoina ovat
* sähköposti (laatikot (useita), viestiarkistot työasemilla ja varmistuksilla)
* laskutusohjelman asiakasrekisteri
* asiakasrekisterikopio
* kirjanpitoaineisto (tositteet)
* paperitulosteet sopimuksista, laskuista yms.
!! Tietojen luovutukset
Palvelujen määrittämistä varten tietoja voidaan siirtää/kopioida muihin järjestelmiin (esim. verkkotunnuksen haltija tiedot Viestintäviraston järjestelmään)
Muutoin tietoja ei luovuteta kolmansille osapuolille ilman ao. henkilön antamaa lupaa tai kirjallista pyyntöä. Tällainen tilanne syntyy esimerkiksi alihankinta-tilanteissa (yhteyshenkilön tietoja välitetään web-sivuston laatijalle.)
! Henkilötietojen säilytys
Henkilö- ym. asiakastietoja säilytetään digitaalisessa ja tulostemuodossa. Pääsy tietoihin on rajattu sovellustunnuksin ja salasanoin (osin lisäksi gpg/encfs/ssh-avaimin). 
Digitaalinen aineisto tallennetaan työasemien kiintolevyille ja (salattuna) pilvipalveluihin; datan varmistukset tehdään säännöllisesti erillisille kiintolevyille (ulkoisia ja sisäisiä). Paperitulosteet säilytetään toiminimen toimistohuoneessa ja arkistossa.
Palvelimella oleviin tietoihin (lokit, palvelujen konfiguraatiotiedot) ja niiden varmistuksiin pääsy on rajattu käyttäjätunnuksin ja salasanoin. xx
Tietoja säilytetään seuraavassa kuvattu tarpeellinen aika:
* sähköpostissa: INBOX niin kauan kuin tarvitaan, arkistossa toistaiseksi (säilytysajan automatisointi todo, vanhojen varmistusten tuhoaminen?)
* asiakasrekisteri: käyttötarpeen ajan, sen jälkeen tiedot voidaan anonymisoida (HUOM: asnoa ei voi poistaa, vanhat varmistukset vaativat oman käsittelynsä)
* muu asiakasdokumentaatio
** digitaalinen aineisto: käyttötarpeen ajan, sen jälkeen arkistolevyillä toistaiseksi (henkilötietojen hävitys vanhoilta taltioilta työlästä...)
** paperitulosteet: käyttötarpeen ajan, sen jälkeen max 7 a (verotus!)
* palvelimen lokitiedot säilytetään varmuuskopioilla erikseen määriteltävän ajan, minkä jälkeen ne hävitetään (loki- ja varmistusrotaatio)
HUOM: luottokorttitietoja ja henkilötunnuksia ei talleteta pysyvästi järjestelmiin eikä tulosteille; pankkitilitiedot saatetaan tallettaa asiakasrekisteriin, mikäli niille on oletettavissa toistuvaa käyttöä
! Henkilötietojen oikaisu ja poistaminen
Rekisteröidyllä on oikeus vaatia virheellisten tietojen korjaamista ja tarpeettomien tietojen poistamista. Pyyntö tietojen poistamiseksi on aina esitettävä kirjallisesti ja omakätisesti allekirjoitettuna yhtiön postiosoitteeseen toimitetulla kirjeellä. Selvissä tapauksissa tietojen korjaaminen voidaan myös tehdä sähköpostilla, web-lomakkeen avulla tai puhelimitse annetuin tiedoin.
